Position Type: Full-Time, Seasonal

Compensation: $28 – $30 per hour

Duration: Mid-December through the end of May

Schedule: Tuesday through Saturday, 9:00 AM – 6:00 PM (1-hour lunch break)

About the Role

As a locally owned business, our practice is built on meaningful client relationships, meticulous attention to detail, and exceptional personal care. Tax season is our most active and vital time of year, and we are looking for a poised, highly organized leader to step in as the welcoming face of our company and the organizational heartbeat across our main office and three local satellite locations.

In this role, you will provide comprehensive operational support to our leadership and internal teams, curating a warm, efficient, and professional environment for everyone who walks through our doors. You will act as our central communication hub, guide our front-office staff, and keep our team of tax professionals seamlessly aligned and supported from opening to close.

Key Responsibilities

🌟 Client Experience & Front-of-House Hospitality

  • Serve as the primary point of contact by welcoming clients, answering and directing all incoming phone calls across all four locations.

  • Handle client inquiries and customer service matters with warmth, empathy, efficiency, and absolute discretion.

  • Act as the primary escalation point for complex client issues and internal administrative questions.

📝 Office Operations & Administrative Support

  • Manage master calendars and client appointments using our internal scheduling software to maintain a refined, smooth flow throughout the day.

  • Oversee daily office opening and closing protocols to ensure a secure, immaculate, and fully prepared workspace.

  • Maintain and track the status of tax returns currently being processed, keeping accurate and up-to-date records.

🤝 Internal Team Coordination & Tax Pro Support

  • Coordinate workflows and provide operational support for multiple tax professionals across all four locations.

  • Instruct tax professionals on which returns need to be prepared and in what order.

  • Communicate clearly with preparers regarding outstanding items, missing notes, and documentation required to complete returns.

👥 Team Leadership & Guidance

  • Mentor, support, and direct the daily work and performance of two additional Office Coordinators.

  • Lead the hiring, onboarding, and training of new seasonal front-office staff for all locations, instilling our high standards of service.

  • Develop and implement consistent front-office best practices and training materials across all four offices.

What We Look For (Qualifications)

We are looking for a decisive leader ready to manage a busy, high-volume environment with grace:

  • Experience: Minimum of 3 years of proven experience in a supervisory, team lead, or coordinator role (professional office, accounting, boutique services, or high-touch hospitality background preferred).

  • Communication: Exceptional phone etiquette, clear verbal and written communication skills, and natural hospitality.

  • Organizational Mastery: Superior attention to detail, time management skills, and the ability to multitask and manage competing priorities across multiple locations.

  • Mindset: A proactive, calm, and solutions-oriented approach to problem-solving.

  • Reliability: Complete dependability and punctuality to ensure our offices open and close on time throughout the busy season.
